Southwestern and Gulf Coast States

   RECEPTIONIST

   The ideal candidate will have senior level experience in:
  • Strategic planning with the ability to develop and execute strategic territory plans that support company business goals and objectives
  • Account management on a consultative level with deep customer involvement
  • Providing differentiating solutions to complex sales opportunities
  • Territory planning and time management
  • Routine reporting methods in support management and strategic goals; use of rolling schedules, weekly reports, forecasts, etc.
  • Utilization of customer relationship management tools (CRM)
  • Preparation and delivery of product/application knowledge through formal training presentations utilizing PowerPoint, Web-Ex and other delivery solutions
  • Writing clear and concise business correspondence, reports and recommendations
  • Leveraging the Internet, trade publications, market reports, etc. to glean insight into our business, competition, emerging markets, and business landscape

    This position is responsible for the continued growth in the territory through strategic management of our existing distribution channel and growing new business through channel development/enhancement and channel expansion. Focus areas for 2010 include A&E’s, System Integrators and OEM’s.

    Experience/Training/Education:
    REQUIRED:

  • Minimum 8 years of successful history of progressively responsible experience involving strategic territory planning, consultative selling and account management

    Educational:

  • BA/BS preferably in Technical discipline or verifiable equivalent years of directly related field experience.
  • Strategic planning with the ability to develop and execute strategic territory plans that support company business goals and objectives.

    Knowledge of:

  • Ball valves, actuators, and accessories, manufacturing and process industries preferred. Industrial, pharmaceutical, food and steam market knowledge a plus
  • As related to Distributor Management: Sales and marketing principles, concepts, methods and practices; company products, including features, benefits and competitive attributes; sales geography, client organizational structure, sales opportunities, competitive advantages and product applications; management principles, and negotiation techniques; computer hardware and software systems related to sales and marketing applications

    Ability to:

  • Strategically plan, organize, manage, coordinate, train and evaluate the work of distribution channel;
  • Identify targets and develop strategic plan to increase sales by filling distribution gaps and growing new business in assigned market niches;
  • Develop growth plan to increase sales through new sales channels;
  • Establish and exceed territory sales targets;
  • Evaluate and implements effective consultative sales and strategic management approaches to maximize revenue stream;
  • Serve the process control marketplace as a valued resource and advisor on flow control applications.
  • Operate a computer terminal and related software programs. Proficiency in all Microsoft Office Programs, i.e. Microsoft Word, Excel, Powerpoint, Outlook. Experience in using Customer Relationship Management Programs, Macola and Synergy experience a plus

    Special Requirements:

  • Ability to work extended or unusual work hours and required to travel extensively (within home state and nationally) on company business in order to interact with customers, sales and purchasing representatives, sales and marketing management, customers, distributors and others. Expectation is between 60% to 80% during any given year.

  • Job Summary:

    As the first “voice of the company”, to callers, the receptionist sets the tone for first contacts with our company, has the ability to understand/facilitate caller requirements immediately; and will have the initial responsibility to gain trust of the caller, assimilate requirements so that calls/issues can be screened and/or directed to appropriate individuals within the company.

    This position must possess/exude a professional demeanor, capable of handling multiple situations, from daily incoming calls to company emergencies and to confidential calls/situations.

    In addition, this position must also possess an appropriate administrative skill set to support other departments’ needs utilizing the Microsoft Office programs, specifically, but not limited to, the ability to type/format business letters, mailing labels, create spreadsheets with appropriate formats, i.e. data sort, formulas, remove duplicates.

    Examples of Essential Functions:
    Responsibilities for this Receptionist position include:

  • Receive/direct incoming calls – taking & delivering clear and accurate messages to recipients
  • Greet/direct guests to the appropriate individual within the company
  • Open, sort and distribute mail to all personnel. Prepare outgoing office mail for disbursement
  • Administrative duties, i.e. typing, filing, scanning and assisting other department with project work; i.e. letters, spreadsheets, promotions, etc. Assists/maintains email lists including adding names, removing duplicates, sorting, cleanses lists removing opt-outs and undeliverables
  • Prepares and processes collateral requests, i.e. data sheets, binders, CAD NOW discs, line cards, promos, etc. from request through shipment for customers and distributors. Also responsible for maintaining literature inventories and providing input for literature re-orders:
    1. Assembly and fulfillment of collateral requests for customers and distributors, i.e. “pick and pull” process of collateral for such projects as literature requests, CAD NOW discs, line cards, special mailing projects etc.
    2. Responsible for inventory control to maintain an adequate level of collateral supplies and mailing materials. Restock literature fulfillment shelves as required
    3. Provides re-order requirements for all collateral as necessary
    4. Responsible for maintaining up to date collateral; removing obsolete materials from circulation, etc
    5. Responsible for all preparation for mailing/shipments of literature and other marketing materials
    6. Orders office supplies, cleaning supplies and office printed matter; maintains office supply/cleaning supplies inventory; maintains inventory of company letterhead, envelopes, labels, etc.
    7. Maintains/updates company contact list/birthday list
    8. Maintains Welcome Board for Guests/Daily Greeting
    9. Orders office lunches as required; maintains office menu book

    QUALIFICATIONS GUIDELINES

    Experience/Training/Education:
    REQUIRED:


  • Two years front office or receptionist experience in a busy, office environment
  • Excellent verbal, written, spelling, punctuation and math skills
  • Ability to multi-task in a busy, front office environment
  • Experience answering/transferring calls and taking messages from a busy, multi-line switchboard
  • Ability to thrive in a team environment

    Knowledge of:

  • Intermediate level proficiency in Microsoft Office, i.e. Word, Excel, PowerPoint and Outlook preferred. MS Access is a plus
  • Receptionist and front office procedures and practices; customer service principles, practices and procedures; literature fulfillment, USPO and UPS mailing/shipment procedures; familiar with domestic and international mailing requirements

    Skills:
  • Operate a computer terminal and related software programs
  • Operate a calculator, copier, scanner, USPO mailing machine, electronic stamp machines, etc.
  • Type minimum of 45 wpm.

    Ability to:
  • Self-prioritize and organize work for completion in a timely manner
  • Use company computer systems to verify addresses, etc., when necessary
  • Design and populate simple spreadsheets utilizing basic functions such as data sort, remove duplicates, simple formulas, etc. as requested
  • Create/sort/remove duplicates from mailing lists; employ the necessary discipline to maintain/cleanse email lists including removal of opt-outs and undeliverables
  • Type mailing labels using the Microsoft Office program

       INSIDE SALES/APPLICATIONS

    • Knowledge of ball valves required
    • Consultative selling skills; establishes partnering relationships with Distributors, Customers, etc., to assist customers and
      intra-department personnel with general to complex technical product support
    • Develops product/application solutions based on technical knowledge/expertise utilizing ability to read, understand and respond to specification requests, requests requiring valve sizing, etc.
    • Ability to conduct conversations with technical counterparts internally and externally with respect to technical, installation and trouble shooting. Uses probing skills to clearly understand customer requirements
    • Assists customers with assignment of RMA numbers, entry of complaints into complaint log, initiation of corrective action reports (CARS), etc.
    • Responsible for handling miscellaneous projects to include, but not limited to, quotation follow up, blanket order renewals, phone surveys, pro-active customer calls, telemarketing, business development activities, etc.
    • Responsible for reviewing pricing, discounts and blanket order renewals with Sales and Marketing Manager and Regional Sales Manager. Prepares and processes price requests
    • Handles complete process of quote through order entry
    • Prepares, reviews and accurately processes change and customer orders, maintains customer order files in a neat and timely manner
    • Interacts with other departments as necessary in relation to issues for orders, credit corrections, availability of project, request for information that requires vendor contracts, etc.
    • CRM Experience a plus
    • Submits a weekly follow up status of all quotations, projects and request to other departments
    • Advises Sales & Marketing Manager of any competitive intelligence obtained during conversations and meetings
    • May be required to visit customers as needed

       Job Objective:

    Responsible for the development and performance of all sales activities in the organization. Staffs and directs a sales team (inside and outside sales) and provides leadership towards the achievement of maximum profitability and growth in line with company vision and values.
    Establishes plans and strategies to expand the customer base in the marketing area and contributes to the development of training and educational programs for clients and Account Executives.

       Responsibilities:

    • Develops a business plan and sales strategy for the market that ensures attainment of company sales goals and profitability.
    • Responsible for the performance and development of the Account Executives. Prepares action plans by individuals as well as by team for effective search of sales leads and prospects.
    • Initiates and coordinates development of action plans to penetrate new markets.
    • Assists in the development and implementation of marketing plans as needed.
    • Conducts one-on-one review with all Account Executives to build more effective communications, to understand training and development needs, and to provide insight for the improvement of Account Executive’s sales and activity performance.
    • Provides timely feedback to senior management regarding performance.
    • Provides timely, accurate, competitive pricing on all completed prospect applications submitted for pricing and approval, while striving to maintain maximum profit margin.

    • Creates and conducts proposal presentations and RFP responses.
    • Assists Account Executives in preparation of proposals and presentations
    • Controls expenses to meet budget guidelines.
    • Adheres to all company policies, procedures and business ethics codes and ensures that they are communicated and implemented within the team.
    • Recruits, tests, and hires Account Executives based on criteria agreed upon by senior management.

       Relationships and Roles:

       Internal / External Cooperation

    • Ensures that all Account Executives meet or exceed all activity standards for prospecting calls, appointments, presentations, proposals and closes.
    • Delegates authority and responsibility with accountability and
      follow-up.
    • Sets examples for Account Executives in areas of personal character, commitment, organizational and selling skills, and work habits.
    • Conducts regular coaching and counseling with Account Executives to build motivation and selling skills.
    • Maintains contact with all clients in the market area to ensure high levels of client satisfaction.
    • Demonstrates ability to interact and cooperate with all company employees.

       Job Specifications:

    • 5-7 years of experience in sales management.
    • Experience with enterprise software solutions and large, complex organizations.
    • Extensive experience in all aspects of Supplier Relationship Management.
    • Strong understanding of customer and market dynamics and requirements.
    • Willingness to travel and work in a global team of professionals.
